Customer Visit Update Templates: Confirmations and Delays

Adapt these messages for an individual customer service update. Replace every bracketed field, check the message against the current Visit record, and use the contact channel agreed with your customer. The download is free and does not require a Daylane account.

Confirm an agreement rather than create one by accident

Use the confirmation message only after the Visit is agreed. For a proposed change, keep the original booking in place until the customer accepts. A sent message is not evidence that someone can provide access at a different time.

When the estimate is uncertain, promise an update

Give a concrete review time you can honour instead of repeatedly inventing a new arrival estimate. Assign responsibility for making that contact. Keep explanations brief and avoid sharing another customer's details.

Use the actual communication features available

BOOKING CONFIRMATION
Hi [name], this is [person] from [business]. Your [service / inspection] at [Location] is confirmed for [full date], arriving between [time] and [time, local timezone if needed]. We expect the work to take [duration]. Access is arranged with [contact / agreed method]. Please contact [reply method] if anything changes.

RUNNING LATE
Hi [name], today's [service] Visit is running behind schedule. I now expect to arrive between [new window], instead of [original time / window]. I am sorry for the change. Does that still work for access, or would you prefer that we arrange another time?

WEATHER DELAY WITH NO CONFIRMED NEW DATE
Hi [name], today's outdoor Visit at [Location] is postponed because conditions are unsuitable for the planned work. I will review the schedule and contact you by [date and time] with the next available options. Please let me know if your access arrangements have changed.

PROPOSED EARLIER VISIT
Hi [name], an earlier Visit is available on [full date] between [window]. Would that suit you? Your current [date] booking stays in place unless we agree to move it. Please reply by [time] so I can confirm the schedule.

RETURN VISIT UPDATE
Hi [name], the remaining work on [Job / service] is waiting for [brief dependency]. I will check this again on [date] and update you by [time]. A return Visit is not yet confirmed.
