Service Workflow Review Pack and Timing Log

Run a small, documented review of your own scheduling process. This plain text pack contains a workflow observation sheet, a timing log and a follow-up decision record. Its filled example demonstrates the method; it is not a customer case study.

Choose one question for the review

For example: can a colleague create the first Job without help, can you trace a weather-delayed round, or do planned Visit lengths leave enough time? Define the task, starting information and success criteria before observing it.

Use consented, appropriate records and avoid including customer details in a report that does not need them. Record prompts or assistance as part of the observation instead of describing an assisted attempt as independent success.

Compare like-for-like minutes

Compare the same scope in the planned and actual columns. If actual time includes travel but planned time excludes it, fix the scope before calculating a variance. Use actual start and finish records where available; identify estimates.

A few observations can identify a problem to investigate. They do not establish typical customer outcomes or prove time savings across a business. Keep missing data visible and schedule a follow-up review after a change.
