Start with a useful intake record

Record the Customer, service Location, reported issue and access contact. Keep appliance information supplied by the customer distinguishable from confirmed findings. A clear purpose for the first Visit helps avoid promising a completed repair when an assessment is needed.

If a property manager coordinates the request and a tenant provides access, preserve that context in the appropriate Job and Location notes.

Keep parts follow-up out of placeholder bookings

After inspection, record the outstanding work and who will confirm readiness. A supplier's estimated delivery date should not become a promised attendance before you have checked the dependency and customer access.

Use the unscheduled work view and Job details to keep pending work visible. Daylane is not a parts inventory or procurement system; ordering and stock control remain in your existing process.

Dispatch the return with context

Add a return Visit under the same Job, then assign the appropriate person or people. Check duration, travel and availability again, especially if a different team member attends. The existing notes should explain what was assessed and what remains.

Record the return outcome and complete the Job only when the agreed work is finished. Selected completed-Job details can be prepared for a manual Free Invoice App hand-off.
