How to Record Work Declined After an Inspection

Separate an inspection's completed outcome from further work the customer declines, with a factual record example and checks for existing return bookings.

Record the inspection as the attendance that occurred, then record the customer's decision about further work separately. A declined next step does not erase the assessment, and a completed assessment does not mean the proposed follow-up work was performed.

Write the two outcomes separately

The fictional example describes an assessment followed by a customer decision not to proceed with additional work. It does not determine fees, warranties or contractual obligations; those belong to the actual agreement and business process.

Check for an existing return commitment

If a return was tentatively discussed or already scheduled, establish its current status. Do not leave an attendance active after the customer has declined it. Conversely, do not treat a request for more information as a final decline.

Tell the attending person and scheduler what decision is current, especially if materials collection or travel was being planned around the return.

Keep the history useful for a later enquiry

Retain the assessment outcome, the customer decision and any unresolved clarification. If the customer later asks to proceed, review current conditions, scope and availability before reusing an old time estimate.
