How to Reassign Visits After Sudden Team Unavailability

Review affected Visits, replacement availability and customer access after a team member becomes unavailable, with a practical reassignment decision table.

Identify the affected Visits, then choose between a suitable replacement and a revised customer booking. Do not simply move every assignment to the first available name. Check the person's capacity, work context, equipment and travel before saving the change.

Start with the earliest attendance at risk

Tell anyone who might act on the old assignment that the plan is under review. You do not need to share personal details about why someone is unavailable. Record only the operational constraint needed to organise the work.

Save the assignment and review the whole day

In Daylane, owners and schedulers can manage assignments on scheduled or in-progress Visits. Choose the primary and additional people, then use Save Assignments and inspect the result. Assignment management verifies active people and the five-person limit; still review their timing and travel explicitly.

Check the replacement's preceding and following work. A free-looking slot may not include the journey from their actual starting point or a fixed-access deadline at the next site.

Confirm access and update the handover

Tell the customer when a changed attending person affects the agreed arrangement. Verify any site induction or access requirement through the business's normal process, then update the Visit brief.

If no workable replacement exists, reschedule with the customer. Record the new commitment and remove ambiguity from any old run sheet or copied instructions before departure.
