Give the covering person a current sequence of Visits, the agreed work at each site and a clear contact for unresolved decisions. Familiar routines need explicit instructions when someone else takes over. Verify assignment and access before handing over a printed or copied run sheet.
Brief the exceptions to the normal round
Start with the normal schedule, then identify details that the regular worker may know from memory. The cover brief should explain the work, not reproduce every customer note.

Check assignments, time and equipment together
Make sure the person is assigned to the intended Visits and can open the relevant details. In Daylane, use the Visit's assignment management to select the primary and any additional team members. A name written on a run sheet does not update the saved assignment.
Review travel from the cover person's actual starting point and confirm required equipment. A round that works for someone leaving a nearby depot may not fit someone starting elsewhere.
Reconcile the day after cover finishes
Ask for outcomes, access exceptions and promised follow-up, then check that the saved Visit and Job records reflect them. Distinguish work deliberately omitted by agreement from work that was attempted but remains incomplete.
For the next regular attendance, remove temporary wording that would mislead the returning worker. Keep a dated explanation when the change affects future service, and verify any customer promise has an owner.
