Treat a printed run sheet as a dated copy of the schedule. Before departure, compare its Visits with the current records and identify changes in timing, assignment, destination or scope. A tidy printout can still be wrong if it predates an overnight request.
Put a capture time on the copy
Write the working date and the time the sheet was prepared. Use Job or Visit references to match entries reliably. Customer names alone can be ambiguous when one customer has several properties or Jobs.
| Printed entry | Current record | Action |
|---|---|---|
| J-0101 at 09:00 | Moved to 10:00 | Replace time and recheck travel |
| J-0102 assigned to Alex | Now assigned to Sam | Correct responsibility and brief Sam |
| J-0103 reception access | Access unconfirmed | Resolve before departure |
| J-0104 on the sheet | Visit cancelled | Mark clearly and verify remaining Job work |
Check consequences, not just changed text
A later start can affect the next journey; a new assignee may begin elsewhere; an access change can make an otherwise correct time unusable. Reconcile those consequences before declaring the printed sequence ready.
If a correction makes the sheet hard to follow, prepare a clean current copy and tell people which version to use. Keep previous copies out of the active work pack so crossed-out instructions do not become competing sources.
Close the loop after attendance
Transfer factual outcomes and promised follow-up into the relevant records when connected. A handwritten tick is not evidence that Daylane's Visit status or notes were saved.
Use the same discipline for screenshots and exported lists. Each is a snapshot with a capture time, and none should be assumed to update automatically when a Visit changes.
