How to Confirm a Visit Change With a Customer and Site Manager

Coordinate a changed service Visit when one person commissions the work and another provides access, using two recipient-specific confirmation examples.

Confirm the changed booking with the person arranging the work and the person responsible for access when they are different. Give each the details needed for their role. Updating one email address or one saved note does not establish that both people know the new arrangement.

Identify who decides and who opens the site

Ask the commissioning customer who should receive scheduling changes and who will provide access for the new time. Do not treat the site manager's availability as approval for extra work. Keep billing arrangements separate from attendance coordination.

Use messages that describe one consistent booking

Customer example: 'The agreed inspection is now scheduled for Monday at 10:00. The scope remains an assessment of the meeting-room door. We are confirming reception access for that time.' Only call access confirmed once it is.

Site-manager example: 'Can reception provide access for the door inspection on Monday at 10:00? Please confirm the meeting point and current contact.' After the reply, update the attending person's brief with the verified arrangement.

Check delivery and the saved instructions separately

Daylane's Customer record provides a scheduling email and phone; it does not give the form separate dedicated site-manager and billing-contact records. A second email written in notes is not automatically an email recipient.

Use your normal communication process for the additional contact and record the outcome. Check the Visit's internal instructions because Location access notes are not automatically included in the private Visit detail view. Reconcile any copied or printed brief before departure.
