How to Plan Service Jobs Around Site Closures

Prepare a closure-affected working week by confirming access, reviewing recurring Visits and giving each displaced Job an agreed next step.

Before a closure-affected week, check each customer's actual access arrangements rather than moving every Visit automatically. A site may close, open for limited hours or keep its normal service access. Record the confirmed arrangement, review the affected capacity and distinguish a single changed attendance from a permanent change to recurring work.

Verify the site arrangements directly

A date on a calendar does not tell you whether a particular building will provide access. Contact the person responsible for the site and ask whether the planned service can proceed, who will meet you and whether any hours are restricted.

If a public holiday is the reason for reviewing the week, check current official dates for the relevant jurisdiction separately. This guide does not supply holiday dates or determine employment entitlements. It covers customer attendance planning.

Give every affected Visit a disposition

Avoid using 'holiday' as the whole note. It does not explain whether to attend, call again or arrange a replacement. A compact review table makes the decision and outstanding responsibility visible.

Rebuild the week from remaining capacity

Moving several closed-day Visits into the following day can create an overbooked recovery schedule. Review existing commitments, travel and each service length first. Offer alternatives that fit the whole sequence, not only a visually empty calendar cell.

For recurring work, agree whether the affected occurrence is postponed or skipped and check the next scheduled date. A single closure should not silently move the service pattern for the rest of the year.

Confirm the final version with the right people

After agreeing a change, update the existing Visit and tell the assigned person which access arrangement applies. If a site manager approved the change but another person provides access, confirm that the latter can accommodate it too.

Before the affected week starts, review any item whose access remains unknown. Keep an owner and a contact deadline for it. After the closure, reconcile the displaced work so each Job has a clear outcome, future Visit or next action.
