How to Schedule Property Maintenance Across Several Tenancies

Separate commissioning Customer, service Location and tenant access arrangements when planning maintenance across several tenancies, with a worked record map.

Identify who commissions each piece of work, where it will happen and who can provide access. Several tenancies managed by one customer can have different service Locations and attendance constraints. Keep each property's scope and access decision clear before combining work into a round.

Map the customer relationship and destinations

The fictional property manager below commissions work at two distinct tenancies. The access contacts do not automatically become the billing or approval contacts. Confirm the actual relationship before creating or reusing records.

Schedule each access window independently

Nearby units do not necessarily have interchangeable access. Confirm the required arrangement through the customer's normal property-management process; do not infer permission to enter from a previous Visit or from work at the neighbouring unit.

Allow time to move equipment, park and reach the next entrance. A shared street address can still involve meaningful internal travel and check-in time.

Keep outcomes attached to the correct property

In Daylane, use distinct Locations under the commissioning Customer where appropriate, and select the correct Location for each Job. A short Location label helps, but compare the full address and unit detail before confirming.

After attendance, record each Job's findings and remaining work separately. If one tenancy could not be accessed, do not mark the whole property-manager round complete as though all requested work was attended.
