How to Keep Completed Work From Lingering in the Backlog

Use a short daily close-out and a weekly exception review to distinguish finished Jobs from genuinely open work, without booking placeholders or overstating completion.

Reconcile attendance outcomes daily and review unresolved Job decisions weekly. Completed work remains confusing when the Visit is finished but nobody reviews the Job's overall status. The aim is an accurate working list, not the smallest possible backlog number.

Use daily and weekly reviews for different questions

A daily review catches missing outcomes while the work is fresh. A weekly review finds Jobs that have stayed unresolved through several working days. The sample cadence below is a manual process you can adapt.

Open the record before changing the status

A completed Visit may be only an assessment or the first part of the Job. Read the scope and previous outcomes before closing it. If work remains, record the dependency and owner instead of leaving a generic open status with no explanation.

Daylane's Unscheduled view helps find open Jobs without current or upcoming Visits. It is a working review surface, not a substitute for reconciling the underlying records when the business has a larger historical ledger.

Close the work and verify the next handover

Once the agreed scope and active Visits are resolved, an owner or scheduler can complete the Job. Check the saved outcome and prepare the separate invoicing hand-off if needed.

Do not create a duplicate Job or a fake future Visit merely to make the backlog disappear. If a record still appears unexpectedly, investigate its actual Job and Visit states and refresh the current list.
