How to Handle a Cleaning Scope Change at the Door

Respond to extra cleaning work requested on arrival by checking scope, time and the next booking, with practical customer choices and outcome wording.

Clarify the extra work, estimate its effect on the reserved time and offer choices the schedule can support. A request made at arrival is still a scope decision. Do not silently add it if doing so would break the next customer's commitment or leave the original work incomplete.

Compare the request with the agreed clean

A customer may ask for another room, an additional area or a task outside the original brief. Restate what is currently included before discussing the addition. This guide concerns scheduling and communication, not contractual or specialist cleaning advice.

Offer concrete alternatives

Example: 'We have time reserved for the agreed areas today. The extra room needs more time than the gap before the next Visit. We can keep today's scope and arrange the room separately, or discuss a different agreed scope for this attendance.' Only offer substitutions your business can actually make.

If approval must come from a property manager or another commissioning contact, contact that person before changing the work. The person opening the door may not own the scope decision.

Record the agreement and the outcome

Note what was accepted, what was deferred and who agreed. If the Visit duration changes, update the schedule and check affected customers rather than leaving the calendar unchanged.

After attendance, distinguish original work completed from the additional request still awaiting a Visit. If the extra is one-off, check that the next recurring clean retains the normal scope.
