How to Avoid Counting the Same Journey Twice in a Job Schedule

Build a trip-by-trip travel ledger and reconcile it with Visit allowances, using a three-stop example that counts each physical journey once.

Write one row for each physical journey, then decide where that time belongs in the day's plan. Double counting happens when the same journey is recorded as both the previous Job's outbound travel and the next Job's inbound travel. Missing the first or last journey creates the opposite problem.

Draw the actual sequence of stops

This fictional day starts and finishes at a depot and contains three customer Visits. The ledger covers travel only; service, setup and breaks need their own allowances. Use realistic estimates for the intended departure times, then revisit them when you change the order.

Use one consistent allocation rule

With this convention, A to B is counted in B's inbound allowance. Do not also add 15 minutes to A's outbound allowance. A different convention can work, provided each journey appears exactly once and the actual gaps between Visits allow it.

A per-Visit average is useful for a first capacity estimate, but it is not a route ledger. Replace the average with this day's individual journeys when deciding actual booking times. Do not add both totals together.

Recalculate the affected legs after a change

If B is cancelled, remove A to B and B to C, then estimate A to C. Simply deleting B's 15-minute inbound allowance leaves the old B-to-C journey in the total. Supplier collections and disposal trips also need their own stops.

Before confirming the day, reconcile the travel total with the timeline and check where return travel ends your working day. The capacity calculator can support an initial estimate; the final itinerary still needs this sequence check.
