Set quiet hours to reflect when routine team email should be held, then agree how time-sensitive schedule changes will be handled. A notification setting controls message timing; it does not establish that someone has read a change or is available to attend.
Review the saved preference
The team member's notification form offers Use quiet hours, a start and end time, and On call. Its wording says quiet hours hold routine Team email until the period ends; On call sends schedule-change email immediately during that period. Review the business time zone when interpreting the times.
| Change time | On call? | Expected scheduling of team email |
|---|---|---|
| 23:00 | No | Held until quiet hours end |
| 23:00 | Yes | Eligible for immediate sending |
| 09:00 | No | Outside the quiet period |
Separate send timing from a working commitment
A message eligible for immediate sending can still be delayed or fail in delivery. A delivered email does not prove acknowledgement. Use your agreed working channel when an imminent departure depends on a confirmed response.
Do not use On call as a substitute for an availability arrangement. Confirm the person's actual working responsibility separately and review the setting when that arrangement ends.
Check the next-day process
Have the team open the current Agenda before departure, particularly after a quiet-hours period. Review changed Visit times, assignments and instructions rather than relying only on an inbox summary.
Save preference changes and verify the success message. Team members can manage their own notification preferences; owners and schedulers can manage another member's preferences through the authorised workflow. This guide concerns team email, not a guarantee of SMS or push delivery.
