Treat confirmed reception access hours as a scheduling constraint. Work backwards from the time the team must leave, including pack-up, then check whether the required arrival and service duration fit. A short route is not useful if the building cannot admit the person at that time.
Clarify what the access deadline means
Ask whether reception must admit the team before a deadline or whether all work must finish by that deadline. Those are different constraints. Also confirm the entrance, contact and any preparation the customer must complete.

Check the preceding and following stops
If the previous Visit ends at 13:45 and travel takes 30 minutes, the 14:05 arrival does not fit. Move the sequence, reserve an earlier finish or offer another day. Do not hide the ten-minute mismatch by treating check-in as instantaneous.
Review the onward journey after leaving the office. A 16:00 departure is not a 16:00 arrival at the next site, even when the two services belong to the same customer.
Put the confirmed arrangement into the brief
Record the access contact and entrance in the appropriate Location notes, then ensure the attending person's Visit instructions include what they need. Daylane does not automatically display Location access notes in the private Visit detail view.
Reconfirm after a closure, reception-hours change or temporary cover assignment. Tell the customer the actual arrival expectation only after checking that it supports the full agreed clean.
