Choose one primary assignee who will coordinate the attendance, then make the supporting responsibilities explicit. A shared Visit should not leave every person assuming someone else confirmed access or recorded the outcome. The lead role is an operational agreement as well as a saved assignment.
Give the lead a concrete responsibility
Daylane describes the primary assignee as the main person responsible for the Visit. Additional assigned people can also open and update it. Agree how the team will avoid contradictory updates while still allowing everyone to contribute useful facts.

Choose the person best placed to coordinate
Consider who understands the scope, can communicate with the site contact and will remain for the relevant attendance. The first person alphabetically or the person with the shortest journey is not automatically the best lead.
If responsibility changes, update the primary assignment deliberately. Daylane removes the primary person from the additional-assignee selection to avoid assigning the same person in both roles.
Check the shared brief
Make sure all assigned people see the same time, Location and work purpose. If they start from different places, check each inbound journey separately. One shared Visit reserves time for every participant.
After attendance, reconcile individual notes into a clear outcome without erasing useful detail. If work remains, identify who owns the next action and whether the return still needs the same people.
